Job Description

The Document Control Project Administrator serves the Airgas Merchant Gases group to support the State Board of Pharmacy (BOP) permitting and also provides back up support to the AMG HR organization.  Primary duties include: interfacing with both field and corporate leadership to assure that drug manufacturing and wholesale distributor permits are maintained in accordance with each state's Board of Pharmacy requirements. In addition, this position provides document administrative support within the Intelex document management system. Other duties consist of coordinating internal and external audit schedules, audit support, training sessions and team meetings.

The position also serves as the AMG liaison with contract services hired to oversee Federal FDA food and drug registrations and drug listings. This position will provide both corporate and field support. To do so efficiently, the coordinator must have an excellent understanding of various systems and tools in order to navigate and maintain records accurately and efficiently and understand how to troubleshoot problems. Further, excellent problem solving skills, fast learner and ability to pick up new tools and processes is required.


In addition to the above duties, the Coordinator will also be cross-trained to provide backup support to the AMG Human Resources HR Coordinator processing data forms; entering personnel transactions in the HRIS system, and managing the online forms. The position will also be back-up for the Drug/Alcohol Testing Specialist within the HSEQ Department.


ESSENTIAL DUTIES AND ACCOUNTABILITIES:


  • Handles highly sensitive, confidential data and must maintain a high degree of confidentiality.

  • Responsible for the state food and drug manufacturing and distribution licenses program including the coordination of payments, background checks and fingerprinting when required.

  • Assures that Federal and State food and drug manufacturing and distribution license renewals are filed and attained prior to the expiration date.

  • Maintains custody of confidential information provided by Airgas officers and associates when required to successfully complete and submit applications.

  • Monitors third party services that obtain and maintain federal food and drug establishment registrations to conform timely completion..

  • Supports AMG business units by performing document control administration.

  • Provides administrative support for internal audits, certification audits and government inspections.

  • Responsible for maintaining the Quality and Food Safety team drive and assuring that quality documents needed to support AMG and the Airgas regions are current and available.  

  • Maintains annual internal/external compliance audit schedules in accordance with cGMP and AMG requirements.

  • Maintains Quality and food safety performance metrics and reports.

  • Assists in the drafting of presentations, newsletters and quality flash, etc..

  • Tracks and reports costs associated with quality and compliance activities.

  • Performs duties without direct supervision and assumes accountability for routine activities and office management.

EDUCATION and/or EXPERIENCE:

  • Qualified candidates must possess a 4 year degree or a combination of education, knowledge and work experience in a quality or regulatory compliance environment.

  • Proven ability to appropriately manage and maintain highly sensitive data

  • Minimum (2-3) years of administrative experience is preferred.


TRAVEL REQUIREMENTS:


  • Infrequent. (<10% Maximum)


COMPUTER SKILLS:

  • Strong knowledge of Microsoft Office applications (Word, Excel, PowerPoint)

  • Strong knowledge of Google Chrome and Google Office (Docs, Sheets, Slides, Drive and Gmail)

  • Working knowledge of Quality Management System software such as Intelex, Cornerstone, SharePoint and SAP a plus

  • Strong aptitude for learning new software programs.

  • Strong internet skills required for utilizing state and federal agency websites.


COMMUNICATION and/or CRITICAL THINKING SKILLS:

  • Ability to write routine business reports and business correspondence in English.  

  • Ability to effectively present information and respond to questions from employees and/or customers.

  • Ability to comprehend documents such as safety rules, permit applications, government regulations, procedures and instructions.

  • Ability to interface and communicate directly with state and federal agencies and AMG facility management.

  • Ability to prioritize assigned tasks and responsibilities to assure timely completion of duties.  

MATHEMATICAL SKILLS:

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  

  • Ability to compute rate, ratio, and percent.
