Description - Overview
The primary purpose of the Office Manager position is to plan, organize, monitor, and manage the daily operations of the department chair?s office, to assist the department administrator with functions related to the chair?s scope of responsibility and activities and departmental operations. Key Functions 1. Administrative management of daily operations for chair?s office. - Manage and monitor the efficient workflow of functions related to administrative support to the department chair. ? Oversee the management of the chair?s daily calendar. ? Oversee the accurate and timeliness of the data entry for the chair in the FIS system. ? Oversee the accurate and timeliness of data entered in the chair?s version of CV. ? Oversee the accurate and timely completion of the PTAS for the chair. - Identify areas for process improvement and implement solutions. 2. Human resources coordination - Provide direct supervision of the administrative support personnel who work directly with the department chair, in accordance with department and institution policies. ? Plan and coordinate workflow by monitoring workloads and redistributing assignments to meet deadlines and provide efficient utilization of staff. Be proactive in anticipating changes in priority, arranging coverage during personnel shortages and increased demands for support. ? Provide direct training and guidance for training classes to enhance and build their skill base. ? Handle problems and questions in a thorough and timely manner, utilizing diplomacy and mediation skills, and counsel staff when necessary. ? When appropriate, provide documentation of actions taken and disciplinary or counseling/discussions conducted in regard to attendance, behavior, or job performance. ? Coordinate and manage personnel issues and actions, policy and procedure issues. - Assist with the interview process for administrative support positions and provide recommendations to the department administrator and operations manager. - Assist with orientation and training of new staff; evaluate direct reports in accordance with institutional policy. - Schedule and perform separation clearance process for terminating employees. - Assist the department administrator with creation/revision of position descriptions, new position creation, and position posting. - Serve as the Kronos Lead Timekeeper for the department 3. Periodic Functions - Manage the ongoing maintenance of the Administrative Support Manual of Policies and Procedures. - Manage staff, projects, and activities in support of the department chair?s office. ? Coordinate and assist the chair and department administrator with faculty-related activities, such as submission of appointment and promotion packets, credentialing and recredentialing packets. ? Coordinate and assist the chair and department administrator with recruitment activities for faculty positions. ? Coordinate and assist the chair and department administrator with the completion of performance appraisals for faculty and performance evaluations for classified staff in the department laboratories. ? Assist with the process for the chair?s one-up approval of MLP evaluations and the completion of the evaluation for her MLP.
Job Description-Requirements Education Required: Bachelor?s degree in Business Administration, Hospital/Healthcare Administration, or a related field. Experience Required: Four years experience in a professional/administrative capacity, to include two years experience in a supervisory capacity in any field. May substitute required education degree with additional years of equivalent experience on a one to one basis
