We are currently looking for an Executive Assistant for our corporate location to help us achieve our vision of providing the highest level of customer service and professionalism.

This position reports directly to the COO.

The primary responsibilities for the Executive Assistant will include, but are not limited to:

  • Manages supervisor’s calendar and independently schedules appointments.
  • Screens incoming calls and correspondence and responds independently when possible.
  • Prepares memorandums outlining and explaining administrative procedures and policies to supervisory workers, and monitors compliance.
  • Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget.
  • Directs preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings.
  • Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents.
  • Creates and maintains database and spreadsheet files.
  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, and accompanies supervisor when requested.
  • Maintain excel spreadsheets and create monthly reports.
  • Involved in project coordination

  • Skills / Requirements
    The ideal candidate will possess the following minimum requirements:

  • 3 years minimum experience supporting upper level management/or college graduate.
  • Demonstrated ability to work in high-pressure, high-volume environment while consistently delivering excellent customer service.
  • Professional written and verbal communication skills.
  • Exhibit professionalism, a good attitude, and a great work ethic.
  • Ability to prioritize multiple projects and adjust workload accordingly.
  • Demonstrate a high level of personal and professional integrity.
  • Excellent organizational skills.
  • Capability to exercise judgment and make decisions to promote smooth workflow.
  • Superior skills in computers, specifically, Word, Excel, Outlook and Windows.
