Full/Part Time: Full-time Location: Houston TX Position Overview: Provide coordination and implementation for the Learning and Development Department to include set/up & logistics, communications, material production/distribution and meeting management. Provide administrative support as available. Basic Functions and Responsibilities: Ensure the timely production/distribution/administration of all training materials and for all training programs. The position must provide all materials to meet the needs for all training programs with a high level of detail orientation. Coordination of material purchasing & production, inventory management, assistance with the learning management system, data compilation and roll-up reporting, and communications are primary responsibilities. Specific Duties: TRAINING PROGRAM LOGISTICS * Implement and execute the training curriculum program logistics as scheduled to include: o& Coordinate the material production (participant materials, job aids, handouts) for all training programs o& Set up any Houston-based training sessions ensuring correct room layout, the set up of hubs if needed, checking of equipment/materials in the room, the set up of all learning materials) o& Coordinate material mailings of pre-work o& Manage inventory of supplies, training materials and giveaways o& Prepare and distribute Welcome Packets to Houston based attendees (packet would include a map of Houston, location of training facilities, transportation options, restaurant options, etc.) o& Communicate and confirm presenters participation for all training programs o& Actively manage master file of program presentations used for Instructor-led training o& Select and arrange food and beverage for all training programs o& Select and coordinate restaurant and logistics for training program group dinners o& Coordinate meeting room set-up including audiovisual equipment, flip charts, etc. o& Prepare and distribute follow-up letters and materials to participants o& Execute training evaluations and provide recap reporting o& Compile evaluation data into executive summary reports o& Compile performance data and metrics from multiple databases, for sorting and analysis ADMINISTRATIVE/COMMUNICATIONS/DEPARTMENT OPERATIONS * Plan and organize department meetings * Create and update calendar of events for department training and all meeting activities * Provide administrative support to meet major project timelines and department operations * Maintain vendor list w/capabilities feedback file * Schedule meetings and compose routine correspondence * Develop and produce graphics for PowerPoint presentations Supervisory Responsibilities: This job has no supervisory duties Qualifications: * Excellent organizational and administrative skills, including the ability to organize, prioritize, and manage simultaneous projects * Excellent interpersonal skills, telephone manner, personal contact * Excellent written communications/proofreading skills * High proficiency with Word, Excel, and PowerPoint mandatory * Multi-departmental experience preferred * Administrative /secretarial degree with related experience preferred * Material production and file maintenance experience preferred Competencies (Knowledge, skills, abilities, traits): * Advanced project management skills, ability to support multiple complex projects * Superior interpersonal, and communication skills * Excellent organizational skills; detail-orientation, written and verbal communication skills * Demonstrated initiative, dependable and flexible in an environment of continuous change Highly motivated individual, willing to accept responsibility and to continuously learn We Value Diversity!
